What we collect
When you use our chat, we capture information you provide about your telecom needs: site locations, services, capacity, term, existing vendor quotes, preferences, and the contact details you choose to share (name, email, company, role, phone). We store the full chat transcript for audit, dispute resolution, and operator follow-up. We also capture session-level technical metadata (IP address, user agent, referrer, approximate country) for the same purposes.
If you upload a current carrier bill, we capture the file itself and the structured data we extract from it (vendor, MRC, services, circuit / account identifiers, term, contract end date). Uploaded bills are Customer Proprietary Network Information (CPNI) under 47 CFR § 64.2001 et seq. See our Data Policy & CPNI Notice for how we handle it specifically.
When you sign in to the portal, we record your email address as a user account and issue session cookies (HttpOnly, Secure, 30-day expiry).
How we use it
- To generate indicative quotes from verified carrier data.
- To orchestrate Requests For Quote (RFQs) to carriers and master agents on your behalf, only with your authorization.
- To maintain audit records required by our carrier and master- agent agreements (typically retention for the duration of the commercial relationship plus a period for legal-claims and dispute resolution).
- To improve internal routing and matching logic. We do not use your data to train external AI models.
What we share
When we send RFQs to carriers or master agents on your behalf, those messages include:
- Your requirement — endpoints, capacity, service type, term.
- Your optimization priority (price / SLA / install speed / etc.).
- If applicable, a redacted reference to a competing price floor (“we have a competing quote at $X/mo”). The name of the competing vendor is never shared.
- Your company name and your role are inferred from your email domain; your personal name is not included in outbound RFQ bodies unless you explicitly ask.
- Where applicable, a copy of your current carrier bill or the structured CPNI extracted from it — only with your explicit authorization at the time of upload.
Third-party AI model providers (currently Anthropic and/or OpenAI) process chat content on our behalf under enterprise agreements that prohibit training on customer data and require deletion within the provider's retention window. They act as processors under our direction, not as independent recipients.
We do not sell, rent, or share your contact information with any party other than the carriers and master agents you've authorized us to contact, and the AI processors described above.
Security and encryption
Chat transcripts, uploaded bills, and the sensitive fields extracted from them are encrypted at rest with AES-256-GCM under a server-held master key. Decryption requires operator-level access to the server. Customer-facing interfaces (the chat, the portal) do not have decryption keys for prior transcripts or for other customers' data.
Data in transit is protected with TLS to your browser and to downstream carriers and master agents. Email-based RFQs use STARTTLS where supported by the carrier's mail system.
We maintain an access log of every operator-initiated decryption of CPNI, recording who decrypted, what resource, when, and the stated purpose. This log supports both internal accountability and compliance with 47 CFR § 64.2009 safeguard expectations.
Retention
Active opportunities are retained until the open RFQ cycle completes. Encrypted transcripts, uploaded bills, and related audit records are retained indefinitely under the legal-claims and transaction-completion bases (recognized exceptions under CCPA § 1798.105(d)(1) and (4) and analogous frameworks). Audit logs of outbound mail are kept for at least three years.
You can clear your chat at any time from the chat interface. Clearing resets your session view and starts a new conversation; it does not delete our records. See the Terms of use for the full record-retention posture.
Lawful basis (EU / UK / Brazil)
For EU and UK residents, we rely on GDPR Article 6(1)(f) legitimate interests — you initiated contact with us to procure telecom services and we need to process your requirement to deliver them. For Brazilian residents, we rely on LGPD Article 7, XI (same legitimate-interest basis with explicit purpose).
Your rights
You can request access to the personal information we hold about you. We will provide it after authenticating you per 47 CFR § 64.2010 (for CPNI elements) or comparable authentication for non-CPNI personal information.
You can request correction of inaccurate information. You can object to processing or request restriction. You can request erasure; however, we may decline erasure to the extent retention is necessary for legal claims, dispute resolution, audit, or compliance with our carrier and master-agent agreements (recognized exceptions under CCPA § 1798.105(d), GDPR Article 17(3)(e), and analogous frameworks).
To exercise any of these rights, email us at the contact-of-record address visible at the bottom of any RFQ we've sent on your behalf.
Transactional emails (sign-in links, opportunity status updates) are sent only to addresses you've given us. RFQ emails to carriers are sent on your behalf only after you authorize submission. You can unsubscribe from any RFQ-related mail by replying STOP, by clicking the unsubscribe link in the email footer, or by visiting /unsubscribe with the link in your email.
We do not send marketing email from this property.
Cookies
We use two strictly-necessary cookies: aiagent_sid (chat session, 24 hours) and aiagent_uid (portal sign-in, 30 days). No third-party analytics or advertising cookies are set.
Children's privacy
This service is directed at business buyers and is not intended for use by anyone under 18. We do not knowingly collect personal information from children.
Changes to this notice
We may update this notice; the “last updated” date at the top reflects the most recent change. Material changes are emailed to active account holders 14 days in advance.
